Initial Meeting between Movers and Customer
This first step is important as it ensures that everyone is aware of what is going on at all times during the move. Here, we learn your expectations and concerns and work on ways to resolve issues before they arise.
Designate a Move Team
To help facilitate the move, you should designate a special move team to help coordinate moving, packing and labeling efforts. These team members will be responsible for maintaining contact with the move coordinators. At the new location, have a team standing by to help coordinate placement of furniture and other items. Someone from your team will also need to arrange for special parking areas or permits to park while the furniture is being unloaded.
What are the Customers Responsible For?
Every employee will be responsible for packing his or her own work area. Boxes will be made available to the employees as needed.
Other Customer Responsibilities
An important part of the move involves the office equipment - copiers, fax machines and the like. All fluids, inks, toners and paper must be removed from the machines. It would be a good idea to appoint one individual to handle this task for each department or work area. Personal computers should be turnied off, and their power and peripheral cords disconnected.
Some Tips on Packing
Employees need to empty their desks and file cabinets of their contents. Files should be placed in a box that is clearly labled, which we will cover shortly. Small items like paper clips, rubber bands, staples, etc. should be sealed in envelopes or small containers to keep them from flying around loosely during the move. The sealed envelopes and/or containers can then be placed in the box. Personal items such as photos, plants, knick-knacks, etc. should be moved to the new work area by the employees themselves. Large non-personal items such as computers, telephones and larger artwork will be left for the movers to handle; however, the employee must label each item before leaving the office, to ensure that the item will be moved to the proper new location. Employees will be given color-coded lavels and a placement diagram to mark where the pieces should go. Important: If a box, piece of furniture or equipment is not labeled, it will not be moved. Please make sure every item is properly labeled and marked for its correct office destination.
File Rooms, Lunch/Break Rooms and Other Common Areas
Employees should pack all files, books and other smaller items and propelry label them so that they arrive at the proper destination.
Labeling Furniture and Equipment
Important: If a box, piece of furniture or equipment is not labeled, it will not be moved. Please make sure every item is clearly labeled and marked for its current office destination. The labels shouold be clearly marked. The number and color of each label should match the number and color of the destination the items are being moved to. Please each label on each item in a prominent location.
After the Move
Representatives from both FSP and your company will be responsible for ensuring that all items arrive at the new location with no damage. If an item is missing or damaged, it will be your responsibility to notify us immediately.
